Intake No-Show and Late Cancellation Policy

Amae Health (“Amae,” “we,” “us,” or “our”) is committed to ensuring timely access to care for all members. This Intake No-Show and Late Cancellation Policy (“Policy”) outlines our expectations and applicable fees for missed or rescheduled intake appointments.
This Policy applies solely to intake appointments scheduled by members covered by commercial insurance and cash-pay members. By scheduling an intake appointment with Amae, you agree to the terms set forth below.
1. Scope
This policy applies to:
- Commercially-insured and cash-pay members receiving care at Amae Health; and
- Initial intake appointments with a licensed psychiatrist or therapist, typically lasting 90 minutes.
2. Cancellation and Rescheduling Requirements
You must provide at least 24 hours’ notice if you wish to cancel or reschedule your intake appointment. Notice can be provided through our scheduling system, by phone, or by contacting your Amae care coordinator directly.
Failure to cancel or reschedule within this timeframe will be considered a late cancellation and may result in a fee as outlined below.
3. No-Show and Late Cancellation Fees
Amae reserves the right to assess the following fees for missed or late-canceled intake appointments:
- First occurrence: $100
- Second occurrence: $100
- Third occurrence: $100 fee and intake will be paused. You may return for services when you are ready to re-engage.
Fees may be waived at Amae’s sole discretion in cases of reasonable life events, emergencies, or as required by your insurance benefit guidelines.
4. Rescheduling Limits
Members who reschedule more than three times within a 30-day period without a documented or legitimate reason may be advised that Amae may not be the right fit at this time. In such cases, we may recommend reinitiating care when the member is ready to consistently engage.
5. Exceptions and Discretion
We recognize that unexpected circumstances can arise. Amae may, at its discretion, waive any fees or rescheduling limits due to:
- Emergencies or significant life events
- Insurance plan limitations or requirements
- Other reasonable and documented circumstances
All determinations will be made on a case-by-case basis and are final.
